How to Make Renting a Truck Profitable in Ghana: Costs, Jobs and Cash Flow

A profitable truck rental business in Ghana is not built by keeping a truck busy at any price. If you rent a vehicle to carry goods, every accepted job must contribute enough to cover the hire, operating costs, risk and your time.

For operators renting a truck to carry goods: calculate the full cost of each job before accepting a fare, then compare the actual result.

Start with the rental agreement, not the first enquiry

Clarify whether the hire includes a driver, fuel, maintenance, mileage limits, overnight use or delivery work for third parties. Ask about breakdown assistance, damage responsibility, deposits and when the vehicle must be returned. Obtain the owner's permission for the intended commercial use and confirm that the vehicle and driver meet applicable requirements.

If you supply vehicles for hire rather than rent one yourself, the same discipline applies from the other side: know your vehicle costs, permitted operators and maintenance obligations. Do not assume that a vehicle accepted for one purpose is automatically suitable for every type of cargo or every operating arrangement.

Build a trip cost before quoting

List the hire charge attributable to the job, fuel for the whole movement, driver labour, agreed helpers, access or parking costs, applicable platform charges and a realistic allowance for waiting or delays. Include travel to the pickup and the likely return or repositioning trip. An empty return is still a cost.

Measure fuel use from your own operating records where possible. A simple estimate is planned kilometres divided by observed kilometres per litre, multiplied by the current price you will actually pay. If the rental already includes fuel or driver labour, do not count that cost twice. Cargo type, congestion and loading affect real consumption and time.

Work through an illustrative GHS example

These are example figures, not Ghana market rates or CargoMov fees. Suppose a day's hire is GHS 600, total fuel GHS 350, driver labour GHS 150, helpers GHS 100, access costs GHS 40, applicable platform/payment charges GHS 110 and a contingency allowance GHS 150. The planning cost is GHS 1,500.

At a GHS 1,800 fare, the planned contribution is GHS 300 before other overheads and taxes. That is about 16.7% of the fare, not 20%: GHS 300 divided by GHS 1,800. For a 20% contribution margin on a genuinely fixed GHS 1,500 cost, the fare would be GHS 1,875. Recalculate if charges depend on the fare; a percentage fee cannot be treated as fixed while changing the price.

If GHS 250 of extra waiting or repositioning costs arises, the GHS 300 contribution falls to GHS 50. This is why an attractive-looking fare can disappoint. Replace every example input with a written quote or your own operating data, and record actual expenses after the job.

Find suitable work without underpricing

Protect cash flow and review the outcome

Check when hire, fuel and labour must be paid and when the job's payment is expected to be available. A job can show a positive margin while leaving you short of the cash needed to operate it. Do not confuse an Agent customer's deposit with money already paid to the driver.

After delivery, compare quoted and actual distance, waiting, costs and payment. Review which jobs produced a reasonable contribution per hour and which caused repeated losses.
